PACE Engineering, Inc. (“PACE,” “we,” “us,” or “our”) provides this notice to explain how we collect, use, protect, retain, and share personal information submitted through the PACE Engineering, Inc. scholarship application hosted on Jotform (the “Scholarship Application”). This notice applies specifically to Scholarship Application information. PACE’s general website Privacy Policy separately describes its general website practices and is available at https://www.paceengineering.us/privacy-policy/.
Before you apply
The Scholarship Application is available only to applicants who are at least 13 years old on the date of submission. You will be asked to confirm your age before submitting the Scholarship Application. PACE does not knowingly accept or retain online Scholarship Application materials from an applicant under 13. If PACE discovers that it has received a submission from a person under 13, it will delete that submission promptly. If an applicant is under 13, do not submit personal information or documents through the Scholarship Application. A parent or legal guardian may contact us using the information below with questions.
For applicants age 13 through 17, a parent or legal guardian must complete the parent/guardian authorization section before PACE reviews the application.
Information we collect
Depending on the fields completed and documents provided, we may collect:
– Applicant and parent/guardian contact information, such as name, email address, phone number, city, and state.
– Eligibility and education information, such as high school, expected graduation date, intended post-secondary school, full-time enrollment status, intended major, and academic transcript.
– Scholarship responses, including activities, community or volunteer service, recognitions, goals, and written responses.
– Parent/guardian authorization, applicant certifications, and electronic signatures.
– Documents PACE requests for the Scholarship Application, such as a transcript. We may request enrollment or registration verification from a selected recipient before issuing an award.
– Technical information collected when the Jotform-hosted Scholarship Application is used, such as browser, device, IP address, and form-submission metadata. Jotform’s handling of information is described in its own privacy documentation.
Please do not submit Social Security numbers, banking information, government identification numbers, medical information, immigration documents, or other information that PACE has not specifically requested.
How we use Scholarship Application information
PACE uses Scholarship Application information only to:
– Determine eligibility and evaluate applications.
– Communicate about the application and scholarship process.
– Obtain and document parent/guardian authorization where required by the Scholarship Application.
– Select recipients, verify enrollment or registration, administer and document scholarship awards, and prevent fraud.
– Maintain security, resolve questions or disputes, comply with legal obligations, and enforce the scholarship rules.
PACE does not use Scholarship Application information for marketing, targeted advertising, or to sell it for monetary consideration. PACE does not sell, share, or use for any secondary purpose any information that qualifies as sensitive personal information under applicable law. PACE does not sell or share the personal information of applicants under 16 years of age.
Who may receive the information
PACE may disclose Scholarship Application information only as needed for the purposes above, including to:
– Authorized PACE scholarship committee members, employees, and reviewers who need the information to administer the scholarship.
– Jotform, which hosts and processes the Scholarship Application on PACE’s behalf, and its service providers as described in Jotform’s applicable terms and privacy documentation.
– Professional service providers who support PACE’s information technology, security, legal, accounting, or scholarship-administration activities, subject to appropriate confidentiality and security obligations.
– Government authorities, regulators, or other parties when disclosure is required by law or is necessary to protect PACE, applicants, or others.
PACE will not send transcripts, application documents, or complete submission PDFs as email attachments to scholarship reviewers. Reviewers must use PACE-controlled access to the Jotform platform.
How we protect information
PACE limits access to Scholarship Application information to authorized individuals with a legitimate scholarship-administration need. PACE uses reasonable administrative, technical, and organizational safeguards designed to protect the information. These include individual account access, multi-factor authentication for authorized reviewers, and a policy against emailing application documents or complete application records as attachments.
No internet transmission or storage system is completely secure. Please contact us promptly if you believe information associated with the Scholarship Application has been accessed or disclosed improperly.
Retention and deletion
PACE retains Scholarship Application information only as long as reasonably necessary to evaluate the application, administer the scholarship, address questions or disputes, meet legal or accounting obligations, and enforce the scholarship rules.
The current intended schedule is:
– Non-recipient application materials: 12 months after scholarship recipients are announced.
– Recipient application, award, and enrollment-verification records: 7 years after the end of the tax year in which PACE pays the award.
When information is no longer needed under the approved schedule, PACE will delete or securely dispose of it, subject to legal, accounting, fraud-prevention, or dispute-resolution requirements.
Your choices and privacy requests
Depending on applicable law and the circumstances, an applicant or parent/guardian may request access to, correction of, or deletion of Scholarship Application information. A parent or legal guardian may also ask questions about or request deletion of a minor’s information. PACE will respond to verifiable requests within forty-five (45) calendar days of receipt. If additional time is needed, PACE will notify the requester in writing within the initial 45-day period.
To make a request, contact PACE using the contact information below. PACE may need to verify the identity and authority of the requester before acting on a request. Some information may need to be retained when required or permitted by law, including to administer an award, prevent fraud, or resolve a dispute. PACE will not penalize any applicant or parent/guardian for exercising their privacy rights, including by disqualifying an application solely because a privacy request was submitted.
California residents may have additional privacy rights under California law, including the right to use an authorized agent to submit a privacy request on their behalf. To use an authorized agent, the resident or parent/guardian must provide written authorization and PACE must be able to verify the identity of both the agent and the resident. PACE will consider requests consistent with applicable California law. PACE’s general website Privacy Policy is available at https://www.paceengineering.us/privacy-policy/.
Residents of other states may have similar privacy rights under applicable state law. PACE will consider verifiable requests consistent with the law of the applicant’s state of residence.
Third-party services and links
The Scholarship Application is hosted by Jotform. Jotform’s privacy practices are governed by its own documentation, including its Privacy Policy and Data Processing Addendum. If PACE links to another website or service, that site’s privacy practices apply to information provided directly to that site.
Changes to this notice
PACE may update this notice to reflect changes to the Scholarship Application, our practices, or legal requirements. We will post the updated notice with a revised effective date. If a material change affects information already submitted, PACE will provide additional notice when required by applicable law.
